What are self-service email templates?
Self-service email templates allow Account Admins to modify email content sent to candidates and users from the HireVue platform. You can now make changes to email templates on your own in real-time and deploy modified emails the very same day.
How does this affect customized email templates?
Customized email templates are labeled Custom (Legacy) and they cannot be edited in the new self-service email templates editor. When you use the editor you will start editing with the new HireVue system default template, not your customized email template.
If you inadvertently publish a new version of an email template in the editor the new version of the HireVue system default template will be sent instead of the customized email template. To revert back to the customized email template click on the reset icon located in the theme template list.
How do I know if my company’s emails are customized?
Customized email templates are indicated by the name Custom (Legacy) in the theme template list. Your emails are likely customized if they have HTML or other coding, full imagery, custom color, custom fonts, etc. If you would like to make a change to your current customized email templates continue to go through your Customer Success Director or the HireVue Support Team.

Who can make modifications to the email templates?
Only Account Admins can make changes to email templates.
What can be edited in the email templates?
- Header graphics, logos, and verbiage
- Hyperlinks to the text fields
- Basic text formatting: bold, underline, and italics
- Dynamic content in text fields throughout the email: candidate name, interviewer name, etc.
- Additional paragraphs
What cannot be edited in the email template?
- Contact information for HireVue Customer Support
- Font size, font color, and the visual layout: left justified text vs. center justified, etc.
Please note: Attachments are still not permitted with this functionality.
Can I use the most recently published version of an email template?
The Reset action in the theme template list allows you to revert to either the HireVue System default template or the Custom (Legacy) template. Customized email templates are indicated by the name Custom (Legacy) in the theme template list. The reset takes effect immediately and the emails sent out will reflect the change.
The Reset Draft option inside the editor allows you to replace the current draft in the editor to either the HireVue System Default or the last published version. For this change to take effect you will need to publish the draft.
How does this feature work for multiple languages?
The email editor does not have a translation feature. You will need to manually type out the email templates for each language. You can utilize the "compare" option to compare the same email template side by side. This is useful when you need to translate the same email template into two different languages.
For example, if you are editing the On Demand – Candidate Invitation in French, and you have already completed the edit in English, you can pull up the English version as a guide. If you publish a new email template in one language it doesn’t affect any of the other languages.
Can I edit one section in one email template and expect the same change across other email templates?
No. Currently, there is no find and replace feature. To make these changes you will have to manually type in changes to each individual template.
