Use the Coordinate Self-Schedule feature to allow candidates to schedule their interview.
Self-Schedule Settings
The Self-Schedule settings are found in the Interview Setup tab of an existing position. If you're creating a new position, the settings are found in the Candidate Experience section.
To edit these settings, click the pencil icon in the Self-Schedule Settings section.
Use Restrict available hours to control the hours that candidates can schedule an interview. Click the small plus icon to add more restricted hours as options. The duration of the interview must fit inside this timeframe.
Use Maximize candidate interview slots to require candidates to choose from back-to-back interview slots.
Use Restrict available dates to allow candidates to choose interviews only within the available dates selected. Click the small plus icon to add more restricted days as options.
Use Restrict available days of the week to control the days which candidates can schedule interviews.
Use Schedule only when external calendar(s) show availability to ensure the interviewer’s external calendar is being checked. If this is unchecked, the interviewer’s calendar is not considered when scheduling.
Use Require at least...advance notice to ensure candidates don’t book interviews too close to the actual interview time (e.g. prevent candidates from scheduling the day of the interview).
Tip: Ensure the times are not so restricted that candidates will have trouble finding a time to schedule their interview.
Preview Schedule Availability
In the Candidates tab of the position, click Add to create the candidate’s interview.
Alternatively, find an existing candidate’s interview and click the pencil icon to view this section.
Scroll to the bottom of the candidate’s interview setup. If the Candidate Self-Scheduling option is Off, click the button to the left to turn it on.
Please note: Interviewers must be added to the interview template in order to turn the self-schedule option on.
Click Preview schedule availability.
In the self-schedule preview, the calendar will show dates with available dates times. The dates in the calendar with a green line notate available times within that date. To the right, the time slots that are available are listed in green.
Tip: Use this option to ensure your self-schedule settings will return results for interviewing candidates.
Candidate Invitation to Self-Schedule
If you would like to view the candidate’s invitation to self-schedule, click the Interview Setup tab in the position.
In the Branded Theme section, click Preview.
Under Template, choose the Candidate - Invitation to Self-schedule template.
Self-Scheduling: Candidate Perspective
Once Candidate Self-Scheduling is turned on, the self-scheduling link is available. Copy and paste the link to see the candidate’s perspective. When a candidate clicks the link in the email invitation, they are taken to a calendar to choose from available times.
After they choose a time, candidates are asked to confirm their selection, and given the option to provide their phone number to receive a text reminder one day before the scheduled interview.
